A back office for the work after the visit

The service is done.
The records still need finishing.

When several technicians work on the same equipment, a folder of tickets can be hard to turn into a useful history. Refrigence is being developed to handle that administrative follow-through.

Keep your existing service workflow. We organize supplied information, identify gaps, and prepare a packet for your team to review.

01

An equipment service history

Service events grouped around consistent site and appliance identifiers.

02

A missing-information list

Absent, conflicting, or duplicate entries flagged for technician or owner clarification.

03

A source-linked records packet

Each transcribed record points back to its supplied document and page.

04

A clear handoff for review

Administrative facts and unresolved questions stay separate from technical decisions.

Keep the workflow simple

From service tickets to a usable history.

01 / DEFINE THE SCOPE

Start with one workflow.

Review a permissioned, redacted example. Agree the locations, ticket volume, data access and review responsibilities before starting.

02 / ORGANIZE & CLARIFY

Connect the records.

Transcribe supplied facts, link the source, and flag missing values or conflicts. Your team confirms information that needs clarification.

03 / REVIEW & HAND OFF

Make the history useful.

Receive an organized draft packet. Contractor approval and appropriate specialist review come before customer use.

A focused first engagement

Test it on a small part of your workload.

The founding pilot is designed to find out whether records administration removes a recurring burden for your shop.

We agree the deliverables before any payment. No software migration or ongoing subscription is required for the one-month pilot.

Your expertise stays with your team.

Equipment work, technical judgments, regulatory deadlines and filings remain with the responsible contractor or owner. Refrigence provides records administration; it does not guarantee compliance or monitor equipment.

One-month founding pilot

$499 / one month
  • Up to 3 grocery or food-retail locations
  • Up to 20 supplied service tickets
  • Draft service-history packet and missing-data list
  • Defined data permissions and review arrangements
  • No automatic renewal

Continue at $599 / month

Per contractor, with the same cap of 3 locations and 20 supplied tickets each month. Includes equipment histories, a missing-information list and a monthly records packet.

Ongoing service requires a separate agreement after the pilot. Larger workloads receive a custom quote; historical cleanup and specialist technical review are scoped separately.

Prepare a pilot enquiry

Enrolment is not open yet. Scope, specialist review and availability must be confirmed before accepting payment. Historical cleanup is scoped separately.

A few practical answers

Clear scope.
Clear expectations.

What does it cost after the pilot?

The one-month pilot costs $499. If you choose to continue, the standard service is $599 per month per contractor, covering up to 3 locations and 20 supplied service tickets each month. The pilot does not renew automatically. Larger workloads, historical cleanup and specialist technical review are quoted separately.

Do we have to change our service software?

No migration is planned for the pilot. We first review how your current records are created and stored, then agree a practical intake format. Live software integrations are not part of the initial offer.

What if the original ticket is incomplete?

Missing values stay missing. They appear on a clarification list rather than being estimated or invented. The responsible technician or owner confirms corrections.

Is this an EPA compliance certification?

No. An organized packet is administrative evidence, not a certification. Equipment-specific applicability and technical conclusions require an appropriately qualified reviewer.

Can we send customer records through this website?

No. Do not upload customer records here. A permissioned intake process and approved data handling arrangements are required before sharing service documents.

Can I see the output before committing?

Yes. The sample packet linked above uses fictional records and demonstrates the structure, source references and missing-information list.
